UK Thesis Word Limits: What Counts, What Doesn't, and What Going Over Costs
A thesis word limit is only half a rule until you know what it counts. Five UK universities' current pages define it differently for research degrees, say what happens to a thesis that goes over, and in two cases say plainly that you may not use AI to bring it under. Here is what each says, how to ask for more words before you submit, and how to cut without cutting your findings.

What counts toward a UK thesis word limit?
It depends on the university, and the rules disagree on footnotes, tables and references. All five universities here leave appendices out, though Warwick caps them at 5,000 words unless you get permission. Four of the five say what happens if you go over: Bristol's examiners "can refuse to examine", Birmingham and Warwick may not accept the thesis for examination without prior permission, and Royal Holloway's examiners "may refer the thesis for resubmission requiring it to be shortened." Birmingham and Warwick also describe how to ask for more words before you submit.
These are the rules as published on each university's pages, read on 27 September 2026. They cover research degrees (PhD, MPhil, MSc by Research), plus Essex's MA and MSc by Dissertation.

Some degrees have their own rules: Royal Holloway sets different lengths for practice-based and creative writing theses, Bristol for musical composition, and Essex for practice-based degrees.
Where the rules disagree
Footnotes. Royal Holloway counts them: the limit "includes references, and footnotes". Birmingham and Warwick leave them out. Essex leaves them out too, but only "as long as the latter do not contain substantive argument", so a footnote that carries part of your argument is counted.
Tables and figures. Royal Holloway's summary lists "References, footnotes, tables and figures" as part of the main body word count. Birmingham, Essex and Warwick leave tables out, and Birmingham and Essex leave out diagrams or figures as well. Bristol's page does not mention them.
Published papers. Birmingham's 2026-27 regulations add: "Where published papers are included in the body of the thesis, the published papers should be included in the word count of the thesis." If chapters of your thesis are papers you have published, check how your own university counts them.
References. Royal Holloway's guidance says the count "includes references" but "excludes the bibliography". Bristol, Birmingham and Essex exclude references. Universities do not all use "references" and "bibliography" the same way, so if your university draws that distinction, ask your graduate school which list it means. Appendices are not a free pass
Every university here excludes appendices, but that does not make them unlimited. For a PhD, Warwick's Doctoral College guide says an appendix "may not contain material that is an essential or integral part of the thesis", and that "The total length of all appendices may not exceed 5,000 words in length unless permission to exceed this length is given by the Academic Director." That is a total for all appendices together, not a limit for each. Warwick's Physics department also advises students "not to include unessential data as appendices in the bound thesis."
What going over can cost, and how to ask for more
- Bristol: "Examiners can refuse to examine a dissertation if it exceeds the maximum word count. Examiners can also direct the student to reduce the word count as part of required corrections after the examination."
- Birmingham: "A thesis that exceeds the maximum number of words will not be accepted for examination unless permission to exceed the stated word count has been granted by the Research Progress & Awards Sub Panel. Permission to exceed the stated word count is only granted in exceptional circumstances."
- Warwick: "Theses which exceed the word limit may not be accepted for examination. Approval is required to submit a thesis exceeding the word limit. This should usually be requested prior to thesis submission". The guide adds that approval "does not preclude examiners from recommending that the thesis be shortened."
- Royal Holloway: "in cases where candidates exceed the prescribed word limit set out in the University Research Degree Regulations the examiners may refer the thesis for resubmission requiring it to be shortened."
Birmingham advises that if you think you will not meet the limit, you "discuss this with your supervisor at an early stage." Essex adds a reminder that works in the other direction: "these are word limits, not targets."
Check your university's rules on editing help first
Before anyone else, or any tool, helps you shorten a thesis, check your university's rules on editorial help. Two of the five universities here say plainly that AI may not be used to cut a thesis down to its limit.
Bristol's guidance on AI tools and thesis writing lists, among its examples of unacceptable use, the prompt "Shorten this 1,000‑word conclusion to 300 words while preserving meaning", because it "Requires the model to re‑author text, not just mark issues."
Birmingham's statement on editorial help for research theses lists, under help that "is not permitted", "reducing the length of the thesis so it falls within the specified word limit". That applies to third-party editors and to generative AI alike.

Cutting a thesis without changing what it found
- Count by your university's definition first. Whether footnotes, tables and references are in or out can change your total by thousands of words.
- Cut background before results. Literature and context that repeat what earlier theses or textbooks already say are usually the easiest to shorten. Warwick's Physics department puts it directly: the original contribution "should exceed any background material that can be found in a text book or thesis submitted previously from the same group."
- Check each chapter's summaries. Introductions and conclusions to every chapter often restate the same points.
- Keep numbers, citations and qualifiers exact. Those carry your findings. Check them against the original after every round of cuts.

Frequently asked questions
Do footnotes count in a UK thesis? At Royal Holloway, yes. At Birmingham and Warwick, no. At Essex, not unless they contain substantive argument. Bristol's page does not mention them.
Does the bibliography count? Not at Birmingham, Royal Holloway, Essex or Warwick. Bristol's word-count rule excludes references but does not say whether the bibliography counts, although its list of thesis sections names a reference list and a bibliography separately.
Can I move material into appendices to get under the limit? Appendices are excluded at all five, but Warwick caps all appendices together at 5,000 words for a PhD unless permitted, and says they may not contain material that is an essential or integral part of the thesis.
What if I am going to be over? Ask before you submit. Birmingham and Warwick both describe applying for permission to exceed the limit, and Birmingham advises raising it with your supervisor early.
Can I use AI to shorten my thesis? Not at Bristol or Birmingham, on their own guidance. Elsewhere, check your university's rules on editorial help and AI before you do.
